Job Title: Virtual Assistant

Company: Earworm Podcast Agency

Overview:

We’re seeking an extraordinarily organised Virtual Assistant to become a pivotal part of our Earworm team. Your role is about ensuring smooth operations and helping our agency to deliver a stellar experience for our clients. You will be deeply integrated into our processes, using our wiki as your knowledge centre and guide.

Key Responsibilities:

  1. Inbox Management: Your primary responsibility will be to monitor Jamie’s inbox, respond to client queries within the day, and identify action points that need to be addressed.
  2. Task Management: You’ll be the key handler of our Trello boards. This means updating client boards multiple times a week, ensuring tasks have client-agreed deadlines, and monitoring project progress.
  3. Communication: Deadlines and important updates will be communicated via our Slack channel. It’s crucial that you keep the team in the loop with all necessary information.
  4. Client Onboarding: You’ll set up new Trello boards for our clients, following the guide provided in our wiki.
  5. Invoicing: With the help of Capsule and Xero, you’ll be responsible for issuing invoices to our clients.
  6. Additional Admin Tasks: As part of a dynamic team, you’ll also take on various other administrative tasks to support agency operations.

Who You Are:

We’re looking for someone who thrives in a busy, client-focused environment, and who possesses top-notch organisation and communication skills. Previous experience with Trello, Capsule, Xero, and similar tools would be a significant advantage.
